How to convert a PDF to Excel without losing the columns

Someone has sent you a price list, a bank statement or a report as a PDF, and you need it in a spreadsheet. Copy and paste usually turns it into one long column of mush. Here are the free ways that actually work, best first, and how to tidy up what comes out.

First, check what kind of PDF you have

Open the PDF and try to highlight a single word with your mouse.

Method 1: Excel's own PDF import (best for tables)

If you have Excel for Microsoft 365 on Windows, this is the cleanest route because it reads the table structure, not just the text.

  1. Open a blank workbook and go to the Data tab.
  2. Choose Get Data, then From File, then From PDF, and pick your file.
  3. A Navigator window lists every table and page Excel found. Click each one to preview it and pick the one that looks right.
  4. Click Load to drop it straight onto a sheet, or Transform Data to tidy it first in Power Query (remove blank rows, split columns, set number types).

If a table runs over several pages, Excel often lists each page as a separate table. Load them one by one, or in Power Query use Append Queries to stack them into one.

Don't see From PDF? Your version of Excel doesn't have it (this is common on Mac and on older versions). Use method 2 or 3.

Method 2: open it in Word, then copy the table

  1. In Word, go to File, Open and pick the PDF. Word warns that it will convert the file; click OK.
  2. Word rebuilds the PDF as an editable document, and tables usually come through as real Word tables.
  3. Click inside the table, select it, copy, and paste into Excel. The columns normally survive.

This works well for simple, neat tables. Complicated layouts with lots of boxes and shading can come out jumbled.

Method 3: Google Drive (free, and works on any computer)

  1. Upload the PDF to Google Drive.
  2. Right-click it and choose Open with, then Google Docs. Google converts it to text, and runs text recognition if it's a scan.
  3. Copy the table and paste it into Google Sheets. If everything lands in one column, select the column and use Data, Split text to columns.
  4. Download it as Excel with File, Download, Microsoft Excel (.xlsx).

Method 4: copy and paste, then split

For a short, simple list, select the text in your PDF reader, copy it, paste into column A in Excel, then use Data, Text to Columns. Choose Delimited and tick Space (or whatever separates the values). It's quick, but names with spaces in them will split into extra columns, so check the result.

Method 5: a free script for many pages or many PDFs

If you're comfortable running a command, our free, open-source pdf-tables-to-csv script pulls every table out of a PDF on your own computer, joins a table that runs over several pages into one (keeping the repeated header once), and can turn amounts like £1,234.50 or (12.00) into real numbers. It works on PDFs that contain text, not scans.

Scanned PDFs

A scan is a picture of a page, so the computer has to read the letters first. Method 3 (Google Drive) does this for free. Two warnings:

Tidying up what comes out

Whichever method you use, the first result is rarely perfect. These are the fixes you'll need most:

Frequently asked questions

Can Excel open a PDF directly?
Excel for Microsoft 365 on Windows can import tables from a PDF through Data, Get Data, From File, From PDF. It reads the tables inside the PDF rather than opening the file like a document. Older versions of Excel and Excel for Mac may not have this option.
Why are my numbers left-aligned and not adding up?
They have come across as text. Select the column, then use Data, Text to Columns, Finish, or multiply them by 1 with Paste Special. Remove any pound signs, spaces or commas that stop Excel seeing them as numbers.
How do I convert a scanned PDF to Excel?
A scan is a picture, so it needs text recognition (OCR) first. Opening the PDF in Google Drive with Google Docs runs OCR for free. Check every figure afterwards, because OCR misreads characters such as 0 and O or 1 and l.
Is it safe to use free online PDF converters?
Read the site's privacy policy before uploading anything with personal or financial details, such as bank statements or payroll. The methods in this guide keep the file on your own computer or your own Google account.
